How CoachOS collects, uses, and protects information when you use our websites and dashboard.
This policy applies to the CoachOS marketing site, coach dashboard (app), Family hub for parents/guardians, and related services we operate. By using the Service, you acknowledge this policy.
We use the above to provide and improve the Service, authenticate users, sync your data across devices, enforce plan limits, send essential service-related communications, comply with law, protect the security and integrity of the platform, and respond to support requests.
Where required, we rely on: performance of a contract (providing the Service you signed up for); legitimate interests (security, product improvement, and communicating about the Service), balanced against your rights; and consent where we ask for it explicitly.
We share data with service providers who process it on our instructions:
We do not sell your personal information. We may disclose information if required by law or to protect rights, safety, or security.
We keep account and program data while your account is active. If you delete your account or ask us to delete it, we delete or anonymize personal data within a reasonable period, subject to backup cycles and legal retention needs. Some billing records may be retained longer for accounting and tax obligations.
Depending on where you live, you may have rights to access, correct, delete, or export your personal data, or to object to certain processing. Contact privacy@coachos.com. You may also use in-product controls where available (for example editing roster or team data). You can unsubscribe from non-essential emails using the link in those messages.
CoachOS is intended for coaches, program staff, and parents/guardians — not for children to sign up directly. Roster and schedule information about minors is typically entered by adults running the program. If you believe a child has created an account without appropriate consent, contact support@coachos.com and we will take appropriate steps.
We operate primarily in the United States. If you access the Service from other countries, your information may be processed in the U.S. and other locations where our subprocessors operate. Where required, we use appropriate safeguards (such as Standard Contractual Clauses) for transfers from the EEA, UK, or Switzerland.
We use HTTPS, industry-standard authentication, row-level security in our database so signed-in users only access their own program data, and access controls on our infrastructure. No method of transmission over the Internet is 100% secure.
We may update this policy from time to time. We will post the revised policy with a new “Last updated” date. If changes are material, we will provide notice as appropriate (for example by email or a notice in the dashboard).
